1. Who we are and how to contact us
RunHQ Solutions operates runhqsolutions.com and provides managed business operations services. This policy explains how RunHQ Solutions handles information collected through this website and related inquiry correspondence. Contact us about privacy at runhqsolutions@gmail.com.
2. Information collected through the contact form
Required fields are your full name, work email, company name, a description of your operational challenge, and your acknowledgment of this policy. You may also provide a website, role, company size, services of interest, monthly budget, preferred contact method, and the business audience or solution relevant to your request. We receive whatever information you choose to include in your message.
We also record a submission reference, submission time, and acknowledgment indicator. Technical data such as IP address, browser and device information, request metadata, and error or security logs may be processed to operate the website, deliver inquiries, and prevent abuse.
Please provide business contact information where possible. Do not send passwords, payment-card information, identity documents, health information, confidential client records, or other sensitive personal information through this form. If we need confidential material for an engagement, we will agree an appropriate method separately.
3. How we use your information
- To review your inquiry and understand the work you need managed.
- To respond using your supplied contact details and discuss whether our services are suitable.
- To arrange a conversation or meeting when agreed with you.
- To prepare a scope, proposal, or service agreement and maintain relevant correspondence.
- To operate and secure the website, identify errors, prevent spam, and respond to misuse.
- To meet applicable legal obligations and establish, exercise, or defend legal rights.
Submitting a form does not subscribe you to a marketing mailing list, create a customer account, or automatically book a calendar meeting. We do not use inquiry information for targeted advertising or sell it.
4. How contact requests reach us
The form validates the supplied information and checks for spam before sending the inquiry through our form-delivery provider, Web3Forms. The provider sends a notification to RunHQ Solutions in Google Gmail. The notification contains the submitted information, timestamp, and reference; your email is used as the Reply-To address so we can respond directly.
Web3Forms may process submission content and technical metadata for delivery, security, and spam prevention. Google processes the email notifications and subsequent correspondence. Hosting and infrastructure providers process the technical requests needed to serve the website. These providers may process data in countries other than your own.
For further details, see the Web3Forms privacy policy and Google privacy policy. We do not guarantee uninterrupted third-party delivery. If you see a submission error or need to follow up, email us directly.
5. Grounds for processing
Where applicable privacy law requires a legal basis, our processing may be based on taking steps at your request before an engagement, our legitimate interests in responding to business inquiries and operating a secure website, compliance with legal obligations, or consent where consent is required. The appropriate basis depends on the activity and the law that applies.
Where we rely on consent, you may withdraw it by contacting us. Withdrawal does not affect processing that was lawful before withdrawal or processing that is permitted on another applicable basis.
6. Sharing and confidentiality
We share information with the providers needed for hosting, form delivery, email, and business administration, and with people who need it to handle your inquiry or engagement. We may disclose relevant information where reasonably necessary to comply with law, protect rights, or address fraud or security issues. If our business is reorganized or transferred, relevant records may be transferred with appropriate protections and any notices required by law.
Please share only information you are authorized to provide. An initial inquiry is not a substitute for a confidentiality agreement or an agreed data-processing arrangement. Any access to your operational systems or processing of client data as part of a managed service will be addressed in the relevant engagement documents.
7. Retention
We retain inquiry correspondence while it is reasonably needed to assess your request, maintain a business relationship, keep appropriate business records, or meet legal and dispute-resolution needs. We consider the purpose, sensitivity, relevance, and applicable obligations when deciding what to retain. You can request deletion of information that is no longer needed.
Providers may have separate retention schedules. Web3Forms currently describes a maximum submission retention period of three years. Email copies, backups, security records, or records subject to legal obligations may remain for a different period. We will consider deletion requests within the systems and obligations that apply.
8. Cookies, analytics, and external links
We do not currently add advertising cookies, marketing pixels, or third-party marketing analytics to this website. Our infrastructure and form providers may process technical information required for delivery and security. Website fonts and images are served as website assets. If we introduce optional tracking, we will update this policy and provide any choices required by applicable law.
External websites have their own privacy practices. Following a link to another service is subject to that service's policies.
9. Your choices and rights
You can ask us to stop following up on your inquiry, correct inaccurate details, explain what inquiry information we hold, or delete information that is no longer needed. Depending on your location and applicable law, you may also have rights of access, restriction, objection, portability, withdrawal of consent, or complaint to a supervisory authority.
Send requests to runhqsolutions@gmail.com. We may ask for information reasonably needed to verify your identity and understand the request. Some requests may be limited by legal obligations or the rights of others; we will explain any applicable limitations.
10. Security and children
We use HTTPS, validation, and abuse controls to support secure website operation. No online transmission or storage system can be guaranteed completely secure. Please contact us if you believe information has been submitted or accessed improperly.
This website is intended for business audiences and is not directed to children under 16. If you believe a child has provided personal information, contact us so we can address it.
11. Changes to this policy
We may update this policy as our website, providers, or practices change. The effective date above identifies the current version. We will provide additional notice where required by applicable law.
